OpenRoute — Terms and Policies

Owner-approved version • 21 October 2026

These terms cover use of the OpenRoute platform, customer bookings, cancellations, refunds, operator participation, affiliates, the affiliate competition, privacy and cookies.

A. Platform and customer terms

1. Who we are

OpenRoute is operated by KC Relics, registration number 2024/293175/07 (“OpenRoute”, “we”, “us”).

Website: demo.vbackpack.com
Email: support@demo.vbackpack.com
Telephone/WhatsApp: 9131025281
Business location: View location on Google Maps
Effective date: These terms take effect upon publication on the OpenRoute website.

2. Application, agreement and order of precedence

These terms apply to use of OpenRoute and bookings made through it. Operator, affiliate and competition sections apply only when those activities are undertaken. Before payment, customers must be able to review their selected service, total price, deposit terms, cancellation rules and important restrictions, correct errors, and retain the applicable terms.

Mandatory law prevails over these terms. OpenRoute’s platform rules prevail over conflicting operator policies. Within that framework, the selected listing and booking confirmation identify the agreed journey and services. Operators may offer more favourable conditions expressly accepted by OpenRoute; they may not reduce platform protections. New restrictions must not be imposed after payment without lawful grounds and the customer’s agreement where required.

3. Platform role and independent service providers

OpenRoute is a technology platform through which independent operators publish their services and customers make bookings with those operators. OpenRoute does not itself sell journeys, supply transport, operate tours or act as the listing provider. The contract for the booked journey is between the customer and the named independent operator.

The operator is responsible for its listing, service delivery, vehicle, driver, lawful operating authority and agreed journey commitments. Its identity and relevant service conditions must be disclosed before payment. OpenRoute may assist customers and operators with use of the platform, enquiries, booking issues and disputes.

The platform facilitates the payment, refund, commission and payout administration described in these terms. These administrative functions do not make OpenRoute the transport supplier. OpenRoute remains responsible for its own platform services, representations, handling of funds and information, and any duties imposed by law. This role description does not disclaim those responsibilities or permit an unidentified supplier.

4. Accounts, booking authority and accurate information

Users must provide accurate contact, passenger, collection, destination and payment information, keep account credentials secure, and report suspected misuse. A person booking for someone else must have appropriate authority and give the passenger the relevant journey conditions. The person making the booking remains responsible for agreed payment obligations.

Adults booking for children must satisfy section 12. Under-age affiliate applications are governed by section C. Users must not impersonate others, submit false documents, misuse payment details, interfere with accounts, manipulate referrals or create sham bookings.

5. Booking confirmation and deposits

Successful receipt of the displayed full payment or accepted deposit automatically secures the booking; no further operator acceptance is required. A failed, pending or reversed payment is not a successfully paid booking. Confirmation must show passenger count, amount received, outstanding balance, service details and any disclosed departure conditions.

Where a deposit is offered, checkout must disclose its amount or percentage, balance due date, payment method and consequences of non-payment. A deposit secures a booking but does not discharge the remaining fare. The applicable deposit amount, balance deadline and any grace period are disclosed at checkout and form part of the booking.

No fare is promised on the assumption that all vehicle seats will sell. A deposit-funded passenger booking may count in provisional competition standings under section D, without making the full advertised fare paid or its affiliate commission immediately withdrawable.

6. Minimum passengers and departure decision

A minimum of five booked passengers applies to a shared departure. Operators may set a higher minimum where disclosed before payment and consistent with platform rules. They decide whether the disclosed conditions have been met and must inform OpenRoute promptly.

Both fully paid bookings and accepted deposit bookings count towards the minimum. Operators must disclose any minimum-departure condition and decision deadline before payment and notify affected customers promptly if departure cannot proceed.

A confirmed booking may therefore remain subject to a clearly disclosed minimum-departure condition. If the journey is cancelled because the minimum is unmet, the customer may accept an available alternative or receive a full refund of amounts paid for the cancelled service and unprovided extras. No customer-cancellation fee or refund-processing deduction applies to this operator/platform cancellation. A customer cannot be forced to take account credit.

7. Prices, extras and changes

Prices are in South African rand. The total payable, applicable taxes, compulsory charges and chosen extras must be disclosed before payment. Optional extras must be separately priced and actively selected; they are not required to buy the advertised basic journey.

Where an operator adopts the platform’s standard distance-pricing model, the current base is R2.20 per verified driving kilometre between the designated origin and destination municipality CBD reference points. The route and fare must be verified before publication. Individual residential collection addresses and approved arrival points do not independently recalculate that base fare. This model does not automatically override independently set operator rates.

The published booking price controls once accepted, subject to lawful correction of genuine errors with notice and an appropriate remedy. No undisclosed fuel, collection, luggage or route charge may be demanded during boarding. Proposed additional services require agreement before charging. Customers must receive details of any changed journey, price difference and options before accepting a rebooking.

8. Gate-to-gate collection and arrival

The service is primarily gate to gate where the listing offers it and safe vehicle access is feasible. Customers must provide a usable address or location pin and disclose access restrictions. Operators must assess collection instructions and communicate material access difficulties promptly.

Unsafe or undrivable roads and the absence of a suitable detour may require an agreed nearby accessible collection or arrival point. This may be a residence street to a home gate, or a gate to an accessible street near home. Both parties must agree on a safe practical arrangement. It is not permission to leave a passenger at an arbitrary or unsafe location.

If a material promised collection/arrival service cannot be supplied and no reasonable alternative is agreed, OpenRoute will address an appropriate rebooking, price adjustment or refund according to the circumstances and applicable rights. Children remain subject to the adult-handover safeguards below.

9. Luggage, conduct and safety

One medium-to-large bag per passenger is included. Any vehicle-specific size or weight limits must be clearly disclosed in the listing before payment. Larger bags and additional luggage may be offered as optional extras, subject to disclosed pricing and actual vehicle capacity.

Passengers must disclose unusual, bulky or restricted items in advance. Operators may not overload vehicles or compromise safe seating or exits to accommodate luggage. Dangerous or unlawful goods are prohibited. Passengers must follow reasonable safety instructions, use required restraints and refrain from harassment, violence, damage and behaviour that endangers the journey. Any refusal of carriage must be justified and handled safely; refund consequences depend on the facts and applicable law.

Vehicle models shown in promotional material are illustrative unless expressly guaranteed. Any replacement must be lawful, suitable and capable of providing the booked capacity and materially equivalent promised service. Capacity must follow the vehicle’s approved passenger seating; a marketing label or seven-seat calculation is not authority to exceed it.

10. Waiting time and missed travel

Operators must wait 20 minutes for a passenger at the agreed collection point. This period runs from the later of the agreed collection time and the operator’s actual arrival, with reasonable attempts to notify/contact the passenger. Passengers are not penalised for early or late vehicle arrival.

After that period, an absent passenger may be recorded as a no-show and the operator may proceed. The passenger forfeits the seat and payment, subject to the cancellation safeguards in section B, reasonable loss assessment and statutory exceptions. It is not automatic forfeiture where the operator went to the wrong place, failed to attend, changed the arrangement without agreement or caused the missed journey.

The operator must record arrival, contact attempts, elapsed waiting time and the no-show. No-show evidence is distinct from proof of collection. A child must never be treated as safely delivered merely because a waiting period has elapsed.

11. Changes, delays and service failure

Journey times are estimates affected by traffic, weather, road conditions and safety. Operators must communicate material delays and changes. A delay clause does not permit indefinite delay or remove customer remedies for material non-performance.

If an operator cancels, cannot supply the booked service, or makes a material change the customer need not accept, OpenRoute will assist with available alternatives and administer applicable refund remedies through the platform. If a platform failure prevents fulfilment, OpenRoute will address its own responsibilities and assist affected customers. No compulsory credit replaces a legally due refund. Funds for unprovided services must not be retained simply because the operator has already been paid.

Sightseeing and regional imagery do not create an included stop. Only expressly confirmed inclusions form part of the booking. Optional stops must be compatible with the journey and agreed conditions.

12. Children travelling without an accompanying adult

Under-18s may travel without an adult onboard only where the booking is made by an adult with parental/guardian authority, any required legal consent is obtained, and the particular service can safely accommodate the child.

The adult booking must supply the child’s age, relevant support needs, emergency contacts and the identity/contact details of the authorised adult at each end. A responsible adult must be present when the child boards, and an authorised adult must receive the child at the agreed arrival location. Operators must verify and record both handovers proportionately.

If the receiving adult is absent or cannot be verified, the operator must keep the child safe and contact the booking adult and OpenRoute for a safe arrangement. The child must not be left alone. Appropriate restraints and lawful capacity remain mandatory. Any service-specific age or supervision restrictions must be disclosed before booking. An operator must not accept an unaccompanied child unless lawful restraints and safe supervision and handover arrangements can be provided.

13. Liability and customer property

Each party is responsible for its own obligations and conduct. OpenRoute does not guarantee uninterrupted website access or outcomes beyond the booked service, but must take reasonable care in delivering its own services and resolving failures.

Nothing excludes liability or remedies that cannot lawfully be excluded, including responsibility for fraud, gross negligence or other prohibited exclusions. No blanket waiver of injury, luggage loss or operator misconduct is imposed. These terms do not impose a general monetary liability cap.

Customers should keep essential valuables with them where practicable and report loss or damage promptly. A request for prompt reporting does not extinguish a statutory claim period.

14. Intellectual property, access and complaints

OpenRoute branding, original copy and artwork belong to their owners. Users receive only the permissions needed for ordinary use or expressly approved promotion. No ownership passes through registration. Operators warrant they have rights to supplied listing content and grant OpenRoute permission to display and promote it for the agreed service; that permission is limited to its purpose.

OpenRoute may restrict access reasonably for fraud, safety, security or material breach, giving reasons and an opportunity to respond where practicable. Restrictions do not automatically confiscate legitimate balances, erase accepted bookings or remove refund rights.

Send complaints to support@demo.vbackpack.com with a booking reference, relevant dates and requested resolution. OpenRoute will respond within a reasonable time, taking account of urgency and the scheduled travel date. Customers retain access to competent courts, regulators and applicable dispute-resolution bodies. South African law applies; these terms do not impose an exclusive forum that removes mandatory consumer protections. Material prospective changes will be notified; existing bookings remain governed by the accepted version unless law or a valid agreement requires otherwise.

B. Cancellation, refunds, rebooking and credit

15. How to request a change

Submit the booking reference and requested action through the account facility, if available, or support@demo.vbackpack.com. The recorded receipt time governs; administrative processing delay does not convert a timely request into a late one. All times are South African Standard Time.

16. Ordinary customer cancellation schedule

Cancellation timing is measured in calendar days using South African Standard Time. Travel day begins at 00:00. A pre-travel-day request must be received by 23:59 on the preceding day.

SituationApplicable treatment
More than three calendar days before travel; request within seven days of purchaseNo percentage cancellation fee; only disclosed, actual, lawful transaction costs under section 17
More than three calendar days before travel; request after seven days of purchase10% cancellation/service charge, subject to reasonableness
Within the three calendar days before travel, excluding travel day15% cancellation/service charge, except during the fee-free two-day window below, and subject to reasonableness
On the calendar day of travelNo ordinary voluntary refund/rebooking entitlement; statutory remedies and exceptions below remain available
Operator/platform cancels, including minimum-passenger failureFull refund option without customer-cancellation or transaction deductions

The 15% rate replaces the 10% rate; they are not added together. Cancellation percentages apply to the amount actually paid for the cancelled booking, including an accepted deposit. No cancellation percentage creates a debt against an unpaid balance.

Booking made three days before travel: the customer may request a refund during the following two days without a percentage cancellation/service fee. Neither the 10% nor the 15% charge applies during this window. The period ends before travel day. Applicable disclosed, actual and lawfully recoverable transaction charges remain governed by section 17. For example, for travel on Friday and a booking made on Tuesday, the following two days are Wednesday and Thursday; the ordinary travel-day restriction applies on Friday. The refund window does not extend into travel day or past departure.

For bookings made one or two calendar days before travel, the ordinary 15% short-notice rate applies to voluntary refunds requested before travel day. The special two-day fee-free window applies to bookings made three calendar days before travel and does not extend into travel day.

17. Reasonableness, costs and protected cancellations

The stated percentages are policy rates subject to a reasonable cancellation-charge assessment. OpenRoute will consider notice, the nature of the booking, ability to refill the seat and relevant circumstances, reduce charges where required and provide a breakdown. It will not recover the same loss twice.

No cancellation fee is imposed where the booked person cannot honour the booking because of their death or hospitalisation, as required by the Consumer Protection Act. Reasonable evidence may be requested sensitively. A transaction deduction may not be used to circumvent that protection or another legally required full refund.

For an ordinary customer-requested refund only, the customer bears disclosed, actual and lawfully recoverable transaction costs. The 3% planning allowance is not automatically deducted as the refund charge. No invented fee, duplicated processing cost or blanket deduction applies to every refund. The total deductions must remain lawful and proportionate.

Any applicable direct-marketing cancellation right or other statutory remedy takes precedence. The voluntary seven-day policy is not represented as a universal statutory cooling-off right for dated transport services.

18. Rebooking and account credit

Eligible customers may request rebooking or OpenRoute credit instead of a cash refund. OpenRoute preserves the original amount actually paid as credit; the unpaid portion of a deposit booking is not credited. This full-value credit option is available for requests received before travel day, including within three days of travel. Any additional charge associated with a different journey or extra service must be disclosed and accepted before the new booking is confirmed.

Credit is recorded against the customer’s account for a future booking. It does not earn interest and is not automatically transferable or withdrawable. Those restrictions do not remove statutory refund rights. Customer-funded credit does not expire under these terms. Records must show credit issued, used and remaining; promotional credit must be distinguished from customer-funded credit.

A new booking is subject to available services and its disclosed price. The customer pays a higher fare difference; unused credit remains recorded. Credit is an informed choice, never the compulsory outcome of an operator cancellation. Rebookings must be linked to the original booking to prevent duplicate referral or competition credit.

19. Refund processing

Refunds should go to the original payment method, subject to a documented secure alternative if that is unavailable. OpenRoute must distinguish approval, payment initiation and the financial provider’s settlement time, inform customers of progress, and comply with any applicable statutory deadline. Approved refunds will be processed within ten business days, or sooner where required by law. The time taken by the receiving financial institution to reflect the refund may differ.

C. Operator and affiliate terms

20. Operator onboarding and continuing compliance

Registration on the current free plan has no subscription/registration charge. Approval requires verification of identity/business information, bank details and documents applicable to the vehicle, driver, route and service. Operators must maintain legally required driving authority, passenger permits, operating authority, roadworthiness and appropriate insurance, and notify OpenRoute of expiry, suspension, incidents or other material changes.

Document submission is not approval. Platform checks do not replace operators’ legal responsibilities or guarantee future safety. A final service-specific document checklist must be issued and verified before activation. Operators may not take bookings for unapproved services or use unapproved, unsafe or overloaded vehicles.

Operators are independent businesses and control lawful schedules, availability, approved prices and trip conditions within OpenRoute’s rules. They must maintain accurate inventory, honour confirmed bookings, disclose extras, communicate promptly, protect passenger data and follow collection, no-show and child-handover requirements. Booking funds may not be redirected into undisclosed payments or surcharges.

21. Operator charges and payout

The current free plan carries a 20% allocation from the agreed commissionable gross, leaving 80% for the operator before operating expenses. The platform-side allocation is 13% OpenRoute, 4% qualifying affiliate and 3% transaction allowance. Where no affiliate qualifies, OpenRoute retains that 4%. OpenRoute bears transaction costs above the allowance and retains any unused allowance. These are internal allocations; the customer is not automatically charged an extra 3%.

The commissionable amount and the treatment of optional extras, taxes and discounts must be disclosed to the operator before the relevant listing accepts bookings. Settlements must follow that disclosed basis; undisclosed deductions are prohibited.

Operators become entitled to payout after completion of all passenger collections and submission of adequate collection proof. OpenRoute will make an immediate payment so that the operator receives the amount due within 30 minutes after adequate proof of all passenger collections is supplied. Operators must supply accurate, verified bank details. OpenRoute must promptly notify the operator of any payment failure or delay and take steps to resolve it.

Collection proof should use booking references and boarding confirmations with minimal personal data. Full ID images or passenger photographs must not be routinely required without a justified purpose. The manifest must separately account for valid cancellations and documented no-shows. A documented no-show must be reconciled separately and must not be represented as a collected passenger. Any lawfully retained fare is settled under the agreed operator allocation, subject to applicable customer remedies.

Operators receive a statement showing paid amounts, deductions, pending balances and payout reference. Deposit bookings are settled against actual cleared receipts, not nonexistent paid balances. Later refunds, chargebacks and operator-caused cancellations are investigated and reconciled with a documented allocation of responsibility. OpenRoute will notify the operator of disputed adjustments and allow a response; unlimited arbitrary deductions are not authorised.

Future paid plans or different commissions require separate disclosed terms and acceptance. They do not retroactively change completed or already accepted bookings without a lawful basis.

22. Affiliate participation and conduct

Affiliates register, accept the affiliate terms and receive a personal referral link. They may promote approved OpenRoute services to interested connections and earn 4% on qualifying attributed booking value. They do not collect customer payments, contract on OpenRoute’s behalf, promise routes or prices, or arrange carriage unless separately authorised.

Attribution uses a seven-day click-to-booking window with last eligible click winning. Self-referrals, false passengers, duplicate accounts, cookie manipulation, misleading statements, spam and artificial transactions are prohibited. Affiliates must disclose their commercial relationship clearly before audiences engage with promotional links and respect channel permissions and marketing law.

Referral links and records may be affected by cookie choices, device changes and technical issues; disputes will be reviewed using available lawful evidence rather than a promise that every off-platform interaction is trackable.

Affiliates keep their commission independently of winning the competition. Refunded, cancelled, fraudulent and charged-back amounts do not earn commission; previously credited amounts may be reversed with an explanation and dispute process. Partial refunds reduce commission in proportion to the refunded qualifying amount. Optional extras earn commission only where included in the disclosed qualifying value. Rebooking or use of credit must not generate duplicate commission on the same funds.

23. Affiliate eligibility and payouts

Under-18s with bank accounts may register as affiliates. For minors, registration must additionally include appropriate parent/legal-guardian assistance and lawful authorisation to process child information; a bank account alone does not establish contractual capacity or consent.

Payments run every Monday with a minimum withdrawal balance of R30. Each booking has an eight-day waiting period from purchase, and customer refund eligibility must have closed before its commission is withdrawable. Payment eligibility begins at the later of those two events, with payment on the next eligible Monday payment run. For payout administration, the ordinary voluntary refund window closes at the start of travel day. Statutory remedies remain available afterward, and later valid refunds or chargebacks may require commission adjustment.

Deposit receipt confirms a booking but does not by itself authorise commission on the unpaid balance. Commission accrues at 4% of actual qualifying receipts, including qualifying deposits, and is released only when the eight-day waiting period and ordinary refund window have both ended. Balances below R30 carry forward. Withdrawal requests and verified banking details must be received before the Monday payment run; later requests move to the next run. If banking services are unavailable on a public holiday, payment is processed on the next banking business day. Receiving-bank settlement times may vary. On account closure, legitimate remaining earnings are reconciled and paid even if below R30.

Payments use verified eligible bank details. Suspected fraud may justify a proportionate temporary hold on affected amounts with reasons and review; unrelated undisputed earnings should not be withheld indefinitely. Tax obligations apply according to the affiliate’s circumstances; no guaranteed tax-free treatment is promised.

D. Affiliate competition rules

24. Promoter, period and prize

Promoter: KC Relics operating OpenRoute, using the contact details above. The competition period is 1 October–30 November 2026. The competition closes at 23:59 South African Standard Time on 30 November 2026. These rules do not retrospectively reduce rights already acquired by participants.

One top qualifying affiliate chooses either a trip worth R20,000 with friends or family or R15,000 cash. Qualifying commission remains payable separately. The competition is ranked by performance; winners are not selected through a random draw.

The trip prize covers the winner and up to three companions, with transport and selected extras within the R20,000 prize value. It must be used within six months of acceptance, is non-transferable and is subject to lawful travel requirements and availability. The itinerary and included services must be agreed before reservation. Costs beyond the prize value are payable only if accepted by the winner. Unused trip value is not payable in cash; the R15,000 cash option must be selected instead of the trip. Results will be announced within 14 days after closing. The winner must claim within 14 days of notification. A cash prize will be paid by EFT within 14 days after a valid claim and verification. A minor winner must be assisted by a parent or legal guardian.

25. Ranking and verification

Rank affiliates by the number of qualifying individual passenger bookings, not payment transactions or group orders. A group booking can contain multiple qualifying passenger seats. A deposit-secured booking is initially confirmed. Duplicate records, fraudulent entries and refunded passenger bookings do not earn points; a refunded passenger booking loses its credited point.

Top-five standings may be published weekly using the affiliate’s chosen display name and verified provisional count only. No surname, photograph or unnecessary personal information is published. Publicity participation is optional and does not determine entitlement to a valid prize.

Count each eligible passenger journey once, including a deposit-secured booking made by the closing time. Balance instalments and rebookings of the same journey do not create additional points. Separate genuine journeys by the same passenger may count separately. Travel after 30 November does not by itself disqualify a booking made during the competition. Refunded or cancelled passenger bookings and deposits that lapse before final verification lose their points. A partial price refund that leaves the passenger journey confirmed adjusts booking value, while cancellation of that passenger seat removes its point. Verification occurs before results are announced.

The first tie-break is higher qualifying booking value. If qualifying booking values are also equal, the affiliate who first reached the tied qualifying count ranks higher. Results must be independently checked and disputed entries investigated fairly before final award. Participants may dispute announced results within seven calendar days of announcement. Later ordinary refunds adjust commissions but do not reopen a correctly verified award unless fraud, manipulation or a material counting error is established. Any resulting prize decision must follow a fair review and applicable law. No discretionary power permits rewriting the winning criteria after participants have acted.

26. Eligibility and competition integrity

Eligible minor affiliates with bank accounts may participate with appropriate guardian assistance and lawful prize acceptance, subject to statutory eligibility. Participation and prize awards remain subject to applicable law. Anyone legally prohibited from receiving a prize, including connected persons where the relevant statutory exclusions apply, is ineligible.

No purchase by the affiliate is required as an entry condition under these rules. No prizes for affiliate recruitment are created by these terms. Genuine travel referrals alone drive the stated ranking. False advertising, fraud and manipulation may lead to removal of affected points or disqualification following proportionate review and an opportunity to respond.

27. Responsible party and information collected

KC Relics operating OpenRoute is responsible for personal information processed for its own platform purposes. Contact support@demo.vbackpack.com for privacy requests. Privacy requests may be addressed to the Information Officer through support@demo.vbackpack.com.

Depending on the service used, information may include account/contact details, passenger and authorised-adult details, collection and arrival addresses, booking/payment references, selected extras, referral records, operator verification and banking information, support communications, consent records and proportionate security/technical logs. Required accessibility or emergency information is limited to what is necessary. Do not submit unrelated sensitive information.

Payment information is processed through the payment facilities used for the transaction. OpenRoute and its providers must limit collection and retention to information necessary for their respective lawful purposes.

28. Purposes, basis and sharing

Information is used for booking administration, payment/refund handling, journey delivery and handovers, operator checks, affiliate attribution/payout, competition administration, support, fraud/security controls and applicable legal duties. Processing must have a lawful basis; optional marketing consent is separate from booking acceptance.

Information is shared only as needed with the booked operator, authorised service personnel, payment/financial service providers, hosting and infrastructure providers, communications/support providers, verification providers, professional advisers and authorities where lawfully required. These categories describe functions without publishing the platform’s implementation stack.

Affiliates do not receive unrestricted passenger contact lists. They receive the minimum referral information needed to understand legitimate earnings and disputes. Operators may use booking information for service delivery and lawful related duties, not unrelated marketing without an appropriate basis.

Service providers’ independent notices may also apply where they determine their own processing purposes. OpenRoute must provide relevant identities/notices where disclosure is legally required or needed for a meaningful privacy request. Commercial confidentiality cannot justify withholding mandatory disclosures. No unseen third-party policy is incorporated as a blanket waiver of OpenRoute’s duties.

29. Children, security and international processing

Child information is processed only with appropriate lawful authorisation, including competent-person consent where relied upon. A person booking a child must have the required authority. Child contact/identity information and handover details are restricted to those who need them. Publication of minor-affiliate standings requires appropriate lawful authorisation and privacy safeguards.

OpenRoute must apply appropriate technical and organisational safeguards, access restrictions and secure handling proportionate to risk, require suitable protections from processors and respond to security incidents as law requires. No online service is represented as perfectly secure.

Some infrastructure or service processing may occur outside South Africa. Any transfer must satisfy applicable protection requirements. Relevant recipient and transfer information will be provided where required by law or in response to an appropriate privacy request.

30. Retention and rights

Keep records only for the purposes and lawful periods applicable to bookings, accounting, disputes, operator compliance, affiliate earnings and fraud prevention; delete, de-identify or securely restrict records when continued retention is no longer justified. Retention periods depend on the record category and applicable legal obligations. Identity and child-handover records must not be retained longer than necessary; accounting, transaction and dispute records may require longer retention. Backup copies remain subject to appropriate access and deletion controls.

Individuals may request access, correction and applicable deletion or restriction, object where appropriate, withdraw consent for consent-based optional processing, and complain to the Information Regulator. Identity checks must be proportionate. Withdrawal does not automatically erase legally required transaction records or reverse lawful prior processing.

Information Regulator: inforegulator.org.za.

31. Cookies and marketing

Essential technologies support login, security and the booking process. Referral technologies support attribution under the seven-day rule. Optional analytics and advertising technologies may be used only if actually deployed and appropriately disclosed and controlled. The seven-day attribution window is distinct from the storage lifetime of any individual cookie.

Where cookies or similar technologies are used, the applicable notice must disclose their purposes, storage durations and available controls. Optional technologies must support the consent or other lawful controls applicable to their use. Users may also manage cookies through browser settings, although disabling essential technologies can affect platform functions.

Booking/service communications are distinguished from promotional messages. Marketing preferences must offer a workable opt-out, and electronic marketing must have the required lawful permission or applicable exception. Consent to travel does not automatically authorise unrelated advertising. A location suggestion is a request for consideration, not a booking or promise of route availability; collect only information needed to assess it and honour any separately chosen update preference.
